The National Archives

Sector: Public and Third Sector
Headshift developed an extranet for 'Knowledge and Information Management' professionals in the Government. This project was initiated and implemented by the National Archives, a government department and an executive agency under the Secretary of State for Justice.

Connecting Knowledge and Information Management professionals
The National Archives provides guidance to government departments and the public sector on information management in order to ensure the survival of records in whichever form they are created.

The purpose of this website is to connect Knowledge and Information Management professionals independent of their location or department. The aim being to facilitate knowledge sharing, diffusion of best practices and collaboration - aspects that are all central to the development of better professional standards.

The site contains both public and private sections. The public facing part of the website presents the Government Knowledge and Information Management Network (GKIMN), while the private area contains:

  • Jobs
  • Document Library
  • News
  • Case Studies
  • Discussions
  • Workspaces

Choosing a Wiki platform
A wiki platform (Confluence) was elected for this project for the following reasons:

  • Easy uploading of new content and easy maintenance of old - reducing workload and providing more autonomy to individual workers
  • Notification systems that improve the delivery of information
  • Switching from paper documents to digital content to ensure more powerful search functionalities.
  • Allowing a mix of static and dynamic information on wiki workspaces by embedding blogs and comment functionality.

Social media tools in government
This project is meant to open doors to a wider use of collaborative social media tools within the British government administration.
